Program Support Specialist

Support logistics, budget, reporting, and invoicing for training and technical assistance administered to federal grantees, including planning logistics of travel, manage monthly invoice development, and support the Project Manager and Project Director as needed.

Location: Alexandria, VA

Duties and Responsibilities:

  • Support the contract leadership in tracking deliverables for the contract team including the support of tracking of plan of performance and work plan documentation
  • Lead for all travel and logistics for coordinators and consultants including planning and implementation; tracking and reconciliation efforts
  • Conduct travel reconciliation
  • Work with PM and Accounting to build up and maintain a detailed site visit cost spreadsheet, including loaded expenditures for reporting to client
  • Reconcile American Express payments for entire team
  • Support the organization of information and development of the contract’s comprehensive monthly invoice
  • Support reporting requirements providing basic review (e.g., format, grammar) for regular contract reporting efforts
  • Track webinars using the webinar protocol, and update protocol as needed
  • Backup support for webinar logistics
  • Other duties as assigned

  • Knowledge of web communications, webinar platforms, and social media preferred
  • Extensive working knowledge of MS Word, Excel, PowerPoint, Outlook, and SharePoint is desired

Education and Experience:

  • Bachelor’s Degree in a related field
  • 1-3 years of relevant work experience
  • Experience working with the American Indian/Alaska Native community highly preferred
